We are currently seeking an enthusiastic Administrative Coordinator to provide administrative support to head office and regional offices. You will coordinate priority actions, monitor internal, external and electronic mail, provide advice, information and interpretation, and answer and direct calls to the Director. You will also be called upon to greet customers and visitors and ensure excellent customer service by replying promptly and efficiently to questions from internal/external customers and conducting follow-ups on issues as needed.
The successful candidate will:
• Plan the Director's schedule/time (business engagements, appointments, meetings) and provide relevant documents and/or obtain all documents required for travel and meetings
• Prepare, draft, research and file various reports every week; provide analyses and recommendations, if applicable, for important and/or current issues; and perform various types of manual and computerized data entry
• Answer telephone calls and provide the information requested; answer and forward messages; direct calls to the appropriate contact; screen telephone calls; determine the importance, urgency and/or relevance of requests; and forward requests to the appropriate individuals or sections
• Prepare, undertake and assume responsibility for special projects as requested by the functional head, in accordance with management’s needs
Job requirements (Education and Work experience):
• High School Diploma
• Minimum three years’ experience in an administrative assistant role
• Working knowledge of Microsoft Office 2003 and Outlook
• Fluently bilingual with advanced knowledge of French and English grammar
