Job Objective
Professionals with Event Management responsibilities at this innovative client are responsible for the management of all Events, Forums & Roundtables.
Responsibilities Include, but are not limited to:
- Coordinate direct, deadline-driven correspondence with all meeting participants - Speakers, Underwriters and Members
- Communicate with internal team members with any information that may affect the meeting, the team or any of the participants
- Organize and maintain "Event Management" mailbox
- Maintain the client website, as well as any Custom Meeting websites
- Research and procure new vendors with an eye toward maintaining or increasing the level of quality while containing or reducing costs.
- Ensure proper invoicing and payment by working with AEF and Vendor Accounts Payable/Receivable in a timely manner.
- Client management and maintenance,
- The collection of event deliverables: marketing materials from sponsors,; speaker bios and presentations from speakers etc.;
- Sending logistical reminder updates and confirming that all parties have all necessary event day information;
- Internal Event Day preparation;
- Securing event day vendors (venue, a/v, printing etc.) and working with them to confirm all needs for the event;
- The creation of internal event day documents: speaker agendas, staffing schedules, checklists, vendor notes, evaluations etc.;
- Management of all activities on the day of the event;
- The compilation of event attendee evaluations for internal post-event team meeting and possible client reference, reconciling all vendor invoices;
- College degree with concentration in marketing, communications, hospitality, or business
- 3+ years post college business experience
- Creativity and ability to think outside-of-the box
